  2. We collect what you give us through our forms, WhatsApp and the shop, plus the basic technical data needed to run the site.
  3. Form enquiries are saved in our own enquiry list for 24 months, so we can reply. Until 31 October 2026 they also go to our customer system (HighLevel, also known as LeadConnector).
  4. Shop payments are taken by Stripe. If you pay with PayPal or Klarna, they also use your details under their own privacy policies. We never see your full card number.
  5. Meta advertising tools (the Meta Pixel and Conversions API) run only if you press Accept on our cookie banner.
  6. Our social media posting tool uses YouTube API Services and TikTok's tools only to post our own videos. Google's and TikTok's privacy policies also apply to it (clause 11).
  7. We do not sell your information.
  8. You can ask for a copy, a correction or erasure, and you can complain to the ICO.

1. Who we are

Platinum Tune Ltd ("we", "us") is the controller of the personal information described in this policy. That means we decide how and why it is used.

Platinum Tune Ltd

Registered in England and Wales, company number 16216662

Registered office: Unit 11, Wembley Park Business Centre, North End Road, Wembley HA9 0AS

ICO registration number: ZC262262

Email: [email protected]

Telephone and WhatsApp: +44 7777 370040

This policy covers platinumtune.com, our contact, booking and dealer forms, WhatsApp conversations with us, our car checker, orders from our shop and our social media posting tool (clause 11). If you register for a dealer account, the dealer portal shows its own privacy notice, which also applies to your account.

2. What we collect

  1. Contact form: your name, phone number, your message and how you would like us to reply, plus your email address and your car's registration number if you give them.
  2. Dealer application form: your name, WhatsApp number, country, which tuning tool you have (if any) and whether you apply as a business, a sole trader or a private person, plus your business name, whether your tool is a master or a slave, and how many files you expect to send each month, if you give them. If you apply as a private person, we also record that you ticked the boxes to confirm you are 18 or over and to ask us to start your files straight away, with the date and time, so we can show what you agreed.
  3. Booking form: your name, phone number and the days and times that suit you, plus your car's registration number and a message if you give them.
  4. With any of these forms, we also record the page you sent it from and whether you ticked the box to receive news and offers.
  5. WhatsApp: your phone number, WhatsApp profile name, and the messages, photos, files and vehicle details (such as a registration number) you send us.
  6. Shop orders: your name, email address, phone number, delivery address, what you ordered and the payment status. If you pay by card, you enter your card details on Stripe's secure checkout page; we never see or store your full card number.
  7. Car checker: the registration number you type. Our server sends it to the DVSA MOT history service, or to the DVLA vehicle enquiry service for cars too new for an MOT, and shows you the make, model and other details they send back. A lookup is not linked to your name unless you then message us about the car. The checker sets no cookie.
  8. Technical data: when you visit, your browser sends your IP address, browser and device type, and the pages you ask for. Our host uses this to deliver the site and protect it from abuse.
  9. Advertising data, only with your consent: see clause 4.

3. How we use it and why

UK data protection law requires a lawful basis for each use of your information. Ours are:

What we doLawful basis
Reply to your enquiry, booking request or dealer application, and follow up about itOur legitimate interests in answering people who contact us, and steps you ask us to take before entering a contract
Look up the vehicle you enter in our car checkerOur legitimate interests in answering your request about your car
Supply shop orders: payment, delivery, tool activation and after-sales supportPerforming our contract with you
Keep accounting and tax recordsLegal obligation
Keep the site and our systems secure and prevent fraudOur legitimate interests
Send you news and offers about our own servicesYour consent, or, where the law allows it for existing customers and people who asked about our services, our legitimate interests. You can opt out at any time.
Meta advertising measurement on this website (clause 4)Your consent, given on our cookie banner
Measure which adverts lead to dealer registrations, using scrambled data (clause 4.4)Our legitimate interests. You can object at any time.

Where we rely on legitimate interests, we have weighed them against your rights and expectations. You can object at any time (see clause 8).

4. Advertising, Meta and cookies

  1. We use the Meta Pixel and the Meta Conversions API to see which of our Facebook and Instagram adverts bring visitors and dealer enquiries. Both are switched off until you press Accept on our cookie banner. If you press Reject, or make no choice, they do not run.
  2. With your consent, the Meta Pixel in your browser records which pages you view on our site, when you click certain buttons (such as our WhatsApp and call buttons) and when you send our dealer application form (not what you wrote in it), and sets the Meta cookies _fbp and _fbc. If you send one of our forms after accepting, we also save the advert click ID and campaign tags from the link you arrived on with it, so we can see which advert it came from, and if you go on to register for a dealer account they go with you to the dealer portal. When you send our dealer application form, our server may also send Meta a record of it with your IP address, browser details, the Meta cookie values, the advert click ID and a scrambled (hashed) copy of the phone number and any email address you gave, so Meta can match it to the advert you saw. Our server checks your cookie choice first and sends nothing unless you have accepted.
  3. Meta and we are jointly responsible for collecting this data on our site and sending it to Meta. What Meta does with it afterwards is Meta's responsibility under its own privacy policy (facebook.com/privacy/policy).
  4. If you register as a dealer, we may send Meta a scrambled (hashed) copy of your email address, phone number, name and town, so Meta can tell us how many registrations came from our adverts. Hashing turns the details into a code before they leave us; Meta uses it to match against its own users and reports totals back to us. You can object at any time and we will stop.
  5. You can change your choice at any time with Cookie settings, which is also at the bottom of every page. Every cookie we use is listed in our cookie policy.

5. Who we share it with

We use trusted providers who act on our instructions, unless we say otherwise below:

  • HighLevel (LeadConnector): our customer relationship system until 31 October 2026. Until then, contact form enquiries, booking requests and dealer applications are also sent to it, and we use it to manage our conversations with you.
  • Stripe: takes payments for shop orders on its secure checkout, whether you pay by card, PayPal, Klarna, Apple Pay or Google Pay. Stripe also uses payment data for its own fraud prevention and legal duties, as an independent controller.
  • PayPal and Klarna: if you choose to pay with one of them, it also processes your details, as an independent controller, under its own privacy policy: PayPal's privacy policy and Klarna's privacy policy. Klarna may check your eligibility before you can pay with it.
  • Cloudflare: hosts this website and the server functions that receive our forms, stores our enquiry list and shop data, helps protect them from attacks, and manages our domain name.
  • Meta: provides WhatsApp, which we use to talk to customers, and, only with your consent, the Meta Pixel and Conversions API (clause 4).
  • Bensky: provides our dealer portal software.
  • DVSA and DVLA: when you use our car checker, our server (not your browser) sends them the registration number you typed, to get the vehicle's details. They are government agencies and handle it under their own privacy notices.
  • Delivery companies: your name, delivery address and phone number, to deliver your order.
  • Tool manufacturers and distributors: the details needed to register or activate a tool you buy from us.
  • Our accountants and professional advisers, and public authorities where the law requires it.

We do not sell your information.

6. International transfers

Some of these providers process information outside the UK, for example in the United States or the European Economic Area. Where they do, the transfer is protected by UK adequacy regulations (such as the UK–US data bridge, for companies certified under it) or by the UK International Data Transfer Agreement or Addendum. Ask us if you would like more detail.

7. How long we keep it

  • Enquiries, booking requests and dealer applications sent through our forms: 24 months from the day you send them. Our enquiry list deletes older ones automatically. If an enquiry leads to an account or an order, we keep what we need for that, as below.
  • Shop orders, invoices and payment records: 6 years after the end of the financial year they relate to, because of tax and accounting rules.
  • WhatsApp conversations: as long as needed to deal with your request, then up to 2 years after our last contact, unless they relate to an order (then as for orders).
  • Car checker lookups: our server keeps a vehicle's details in its memory for up to 24 hours, so a repeat lookup of the same registration doesn't go to DVSA or DVLA again. To stop misuse, it also counts lookups from each IP address for a few minutes. Neither is linked to your name.
  • Your cookie choice: 180 days, then we ask again.
  • Meta cookies (_fbp, _fbc): up to 90 days in your browser, only if you accepted them. Meta keeps the data it receives under its own policy.
  • Server and security logs: kept by our hosting provider for short periods.

When we no longer need information, we erase it or make it anonymous.

8. Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • have it corrected if it is wrong or incomplete;
  • have it erased;
  • ask us to restrict how we use it;
  • object to how we use it, including to direct marketing (we will always stop) and to anything based on our legitimate interests;
  • receive information you gave us in a portable format;
  • withdraw your consent at any time, without affecting anything we did before.

To use any of these rights, email [email protected]. It is free, and we will reply within one month. We may need to confirm who you are first.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

9. Complaints

If you are unhappy with how we handle your information, please tell us first at [email protected] so we can try to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection: ico.org.uk/make-a-complaint, telephone 0303 123 1113, or Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

10. Children

Our website and services are for adults and businesses. We do not knowingly collect information from anyone under 18.

11. Our social media posting tool

  1. What it is. Platinum Tune Social, at social.platinumtune.com, is our own tool for posting our own workshop videos to our YouTube channel and our TikTok account. Only our company can sign in to it. It uses YouTube API Services, and TikTok's Login Kit and Content Posting API: the services Google and TikTok provide so that apps can post videos.
  2. Google and TikTok. Because the tool uses YouTube API Services, the Google Privacy Policy (policies.google.com/privacy) also applies. What TikTok does with data is explained in TikTok's privacy policy.
  3. What it keeps: the login keys Google and TikTok give it when we connect an account, stored encrypted; the name and ID of the YouTube channel or TikTok account it is connected to; the links and IDs of the posts it has made; and, only while an upload is running, the upload address Google or TikTok sends back, stored encrypted.
  4. What it reads but doesn't keep: TikTok's posting options for the account, such as who can see a post and whether comments are allowed. The tool reads them each time it shows a post for approval or sends it.
  5. How we use it. Only to post videos we have approved, to our own channel and account. We don't share this information with anyone else, and we never sell it. It is stored on Cloudflare, which hosts the tool.
  6. Cookies. The tool sets only the cookies it needs for signing in and for security: Cloudflare's sign-in cookie, and a security cookie that lasts 10 minutes while an account is being connected. It has no advertising or tracking cookies and shows no adverts.
  7. How to remove access. "Disconnect" in the tool cancels its login keys at Google or TikTok straight away and deletes them from the tool. You can also remove its access at any time on Google's security page, security.google.com/settings/security/permissions, or in the TikTok app, under the app permissions in its settings. To have the rest deleted (the account name and the post links), email us.
  8. Questions about the tool: email [email protected].

12. Changes to this policy

We may update this policy. The date at the top of this page shows the latest version. If a change significantly affects how we use information you have already given us, we will tell you directly where we can.
